Memorandum to Federal Agency Records Officers: Draft Schedules in ERA
In preparation for the migration of agency records schedules from the current version of the Electronic Records Archives (ERA) to ERA 2.0, NARA is engaging in an effort to clean up outdated or obsolete information in ERA. ERA contains over 1,100 draft agency schedules that have never been certified and sent forward to NARA. As part of the ERA data clean-up plan, NARA will not migrate any schedules created prior to 9/30/2019 that are in “draft” status or in “submitted for certification” status.
We are asking agency records officers to review draft schedules in ERA created before FY 2020 and determine if any action is still needed. Actions could include certifying the schedule or exporting the data for future reference. Appendix H in the ERA User Manual explains how to use ERA’s advanced search function to find schedules in draft status or in submitted for certification status. Appendix I explains the options for exporting schedule data out of ERA.
If you decide not to take further action, please be aware these draft schedules will no longer be available after ERA 2.0 migration. NARA will provide more information about the migration as ERA 2.0 development and implementation work continues. We do not at this time have a firm date for the move to ERA 2.0. However, we want to be sure agencies have this information well in advance of the migration.
