MEMORANDUM TO FEDERAL AGENCY RECORDS OFFICERS: Questionnaire and Instructions for NARA's Annual Records Management Self-Assessment

I am pleased to transmit the questionnaire and instructions for the FY 2012 annual Records Management Self-Assessment (RMSA). The questionnaire and instructions for this year's self-assessment are derived from Federal records management regulations in 36 CFR Chapter XII, Subchapter B and NARA guidance.

On Monday, June 4, 2012, you will receive an "RM Communications" e-mail with a link to go to our online service provider to enter your agency's data. For security reasons, this link cannot be forwarded to other individuals for response, so it is imperative that we have the correct point-of-contact information for your agency.

You will have until 11.59 p.m. EST Friday, June 29, to complete the assessment. The link will become non-operational at that time, and we will be unable to accept submissions through the online system after June 29. However, please note that you will be able to request changes to your response through COB Friday, July 13, two weeks after the online system is closed. Any changes must be sent to rmselfassessment@nara.gov. We will not accept any changes after July 13.

Please note that your responses to questions in this assessment could be subject to public release pursuant to FOIA. However, we will not release responses to the following questions that contain detailed descriptions of agency activities and other requested internal documentation: 6a, 8a,10, 11a, 12a, 15a, 16a, 17a, 22, 22a, 23, 23a, 26, 29a, 31, 34a, and optional questions.

Completion and submission of the self-assessment is mandatory. As your agency's primary records management contact, you have been designated to receive the self-assessment for your agency. If you are not the correct point-of-contact for this response, please notify us so that we may update this information.

If you have any questions regarding the questionnaire or instructions, please contact Stephanie Fawcett at stephanie.fawcett@nara.gov or 781-663-0124.
