Retrieve Records Electronically
You can electronically retrieve your records in two ways:
- CIPS
Submit an electronic request. We will ship your original records, or send them by fax or e-mail if you choose.
- SmartScan
We will e-mail you electronic (scanned) copies of your records.
Using CIPS
Retrieving your agency's records via our Centers Information Processing System (CIPS):
CIPS Tools
- is the most cost effective and quickest method because it decreases mail time and retrieval processing time.
- reduces cost and speeds up the process by sorting requests into location order for fastest servicing.
- lets both you and the records center track requests.
CIPS is your most efficient way of making frequent and high-volume reference requests. If you have only sporadic reference need, consider these other options for obtaining your records: Reference Request Form | SmartScan

You can electronically fill in the forms and return them to us as e-mail attachments.
- Complete the two forms listed below.
We will register you as a user and issue you an ID and password.
Be sure to specify the record group number(s) to which you need access, and all NARA records center(s) where they are stored. - Send us the completed forms by mail, fax, or e-mail:
